Vendor Packet

What your procurement, AP, or vendor-onboarding process needs from us, in one place. Every item below is issued by a person the same business day where possible; email joseph.scott@rarefied.earth with the item name and your form or portal instructions.

Entity and tax

• Legal entity: Earth Evocation Incorporated d/b/a Rarefied Earth, a Florida corporation, St. Petersburg, FL. Established 2018.
• W-9: signed and on file; sent on request the same day.
• E-Verify: enrolled, memorandum of understanding complete.
• Registrations: active vendor registrations with multiple Florida public agencies; we complete new vendor portals routinely and quickly.

Insurance

General liability and professional liability (E&O) coverage are in place. Certificates of insurance, including additional-insured endorsements to your entity's exact legal name, are issued through our carrier on request; conforming certificates have been delivered to Florida public-sector requirements before.

Contracts

• Consulting engagements run on a master services agreement plus statements of work, with template versions frozen per engagement at signature. We work from our paper or yours.
• Groundwork subscriptions run on the public terms of service: month to month, no setup fee, founding rate locked while subscribed.
• NDAs: we sign mutual NDAs routinely and can provide our template or execute yours.

Security and data

The trust and security page states the enforced boundary: read-only connector, per-tenant isolation, hashed tokens, rate limits, human gates, and what never leaves your systems. Subprocessors and data-processing commitments are in the privacy policy. Security questionnaires are answered directly by the engineer who built the system.

Professional-engineering boundary

The founder holds a Florida Engineer Intern certification and an MSCE and is pursuing PE licensure; Rarefied Earth does not sign or seal engineering documents. Work product that requires a licensed professional engineer's responsible charge (signed and sealed plans, calculations of record) is delivered in partnership with a licensed PE of record, arranged per engagement and disclosed up front. AI-systems, software, and operations work carries no such requirement.

Support scope

• Groundwork support is by email, answered by the engineer, typically within one business day.
• Production incidents on the hosted layer alert us automatically and are worked immediately; affected customers are notified directly.
• Studio-tier fractional operating time is scheduled monthly against a written scope, not an open-ended queue.
